Translation Procedure

In order to provide high quality translation services, a simple transfer of words from one language to another is simply not enough. For that reason, IdeaText applies a complex, multi-step translation procedure to ensure that not only the language and stylistic aspects are checked, but also it is made sure that the text is technically ready to be re-imported into whichever platform the client intends to use it on. IdeaText’s translation procedure, although adjusted for different cases, mostly consists of these steps:

Translation Procedure: Step by Step

1. A new translation request comes in

It all starts with the client letting us know what exactly their intention is for the new project. Files are transferred to IdeaText’s servers that are absolutely safe. The files are then received by our project managers to move on to the next step.

2. Request evaluation

After all the necessary files have been received, including any available reference material, the request is put under evaluation in terms of specific requirements, projected timeframe, as well as the optimal budget. This is a pre-quote stage, to make sure our project managers have all the necessary information to provide the client with a thorough project quote.

3. Quoting and confirmation

The client receives a commitment free quote. The quote contains information about the quickest delivery, the optimal budget, as well as responses to any additional questions or specific instructions. It is up to the client now to accept or reject the quote. If the client wants to make adjustments, the quote is rejected and issued again based on the new information. The quoting phase ends when the client decides to proceed with the project.

4. Project registration and the choice of team

As soon as the project is confirmed, all the information from the quote gets transferred to the project management system, powered by XTRF. The project variables allow our project managers to start looking for the perfect team of translators and editors for the job. Some things are taken into the account when choosing a translation team, such as: professional knowledge, industry experience, availability, budget restraints, previous experience with the client, and so on. Choosing the perfect team is in the hands of the project managers, since they are the ones who communicate with the client and know all the ins and outs of the project.

5. Translation and editing

After the project manager has thoroughly analyzed the project to match it with the best pair of resources, only then the translation can be started. Ensuring that the project goes to the right team, not only provides a quicker turnaround, but also eliminates any linguistic issues due to lack of knowledge in the field or specialization mismatch. In addition to that, most of IdeaText’s team members work together for many years, creating an unmatched level of consistency in their work.

6. Optional proofreading and DTP

On some occasions with a more complex translation procedure, where translation and editing is not enough, an additional step of quality assurance is needed. With some industries, such as life sciences, and automotive, for example, a third pair of eyes comes in handy. Quite often IdeaText cooperates with industry experts to provide fact checks and terminology proofing, to make sure the final product is absolutely correct and client-ready. Desktop Publishing (DTP) is not always required, but is there when needed. IdeaText cooperates with industry leading DTP and formatting experts to create a final product that matches the client’s expectations.

7. Pre-delivery internal check

Since our project managers are the ones on the project from the very beginning, it makes sense to have them do the final check to see if all the requirements from the client have been implemented. We make sure that the files are properly translated, edited and formatted before sending them off to the client.

8. Post-delivery availability

In case the client requires a follow-up or any post-delivery adjustments, IdeaText is always ready to perform them in the shortest possible time. Most of the adjustments and updates are made free of charge, apart from text additions or content changes, that require another quoting process.

IdeaText is proud to implement this translation procedure and we trust that sticking to these steps does guarantee a high quality result every time a new project is in the works. If you have any question or a project in mind, our project managers will be happy to hear from you. Advice costs nothing, so why not give it a go?
